lastminute.com has been a European leader in online travel for over 20 years. For its headquarters in Chiasso, Switzerland, the company chose myROOMZ to optimise the use of its 27 phone booths.

Finding space in a multi-floor office environment

Stefano Poli, End User Service Team Leader at lastminute.com, was given a challenge in 2024. How to make it easier for the 450 employees spread across two buildings – one with seven floors and the other with three – to find an available phone booth when needed.

Stefano explained: “These small spaces, used for short calls and confidential exchanges, are important, yet their occupancy status changes constantly. While we encourage our people to keep their step count up, traipsing around from floor to floor trying to find somewhere private was a waste of people’s time. We looked at a few suppliers with different offerings, before deciding ROOMZ had exactly what we needed.

A unique approach with myROOMZ application

Instead of displaying traditional floor plans, lastminute.com configured myROOMZ to show a real-time list of all phone booths along with their occupancy status.
Each resource includes a clear indication of its floor and a complementary note such as “in front of Caracas meeting room”, helping employees navigate more easily through the buildings and improving overall wayfinding.

An inspiring office concept to manage phone booths 

To take the concept even further, the phone booths were named after partner airlines such as Air Europa, Iberia, and KLM. This reference to the travel industry strengthens the workplace identity and helps with easy identification. It also demonstrates how myROOMZ can flexibly adapt to existing office structures and address specific workspace management needs.

Thanks to this smart configuration, lastminute.com successfully met a key challenge: providing employees with instant visibility on space availability according to their needs throughout the day, while leveraging collaboration across their work environments.

Stefano added: “We have had a super positive reaction from our people since introducing ROOMZ, 18 months ago. As an international company, with teams spread across the globe, being able to make our Google Hangout calls privately is really important. So having a system where you can grab a booth without wasting time, or even leaving your desk until you have to, can only be a good thing.”

Back in 2018, the Municipal Administration of Sarnen equipped the city’s music school with 10 ROOMZ displays to manage its classrooms digitally.

From a traditional office-based organization to flexible offices

HDI Global, an international company specializing in liability insurance, sought a modern solution to manage its Swiss workspaces for nearly 120 employees.

Previously spread over nine floors, HDI aimed to bring the teams together on a single floor to encourage collaboration between departments. This new work organization required a shift from a traditional single workplace location to flexible desks.

Seven years after the installation of the first screens, ETH Zurich looks back on its experience with ROOMZ.

There are now 800 screens are installed in the classrooms of the prestigious Swiss university.

Armin Brunner, Head of ITS Infrastructure, looks back on his experience with ROOMZ and on how the screens evolved over time.

> POWER CONSUMPTION

As ROOMZ’ first client, we can highlight the extremely low power consumption and outstanding autonomy of the batteries of the displays.

Back in 2016, when we installed our first 400 displays at ETHZ, ROOMZ estimated a battery autonomy of 2 years. This has not only been achieved, but the typical autonomy of a display in our installation is exceeding 4 years.

The battery replacement is easy and typically takes less than 1 minute by screen.

> DURABILITY OF THE DISPLAYS

400 displays have been installed in 2016 – we have now in total 800 displays installed. Out of theses 800 displays, we only had 10 defect displays (0.26% or 1.6 defect display per year).

After 7 years of operation, the displays show almost no visible degradation, and we can expect them to last for another 10 years.

> MAINTENANCE

And as the displays have no operating system, we have ZERO software maintenance on them – they just work.

UNESCO staff have taken to the new ROOMZ displays

UNESCO sought an innovative solution to modernize the management of its meeting rooms at its headquarters in Paris. The environmentally sensitive organization wanted to use a low power technology.

ROOMZ displays naturally made the difference with their e-ink screens, sleek design and components.
After several months of implementation, ROOMZ was easily integrated into the employees’ new ways of working, as Vincent Rudent, Head of the Telephone and Sound Unit, explains:

“With ROOMZ, our organization has a simple, efficient and easy to implement room reservation system.”

From old to new ways of working

The City of Sunderland sought a comprehensive solution to integrate agile working methods into its new city hall, which opened on 17 March 2022. Implemented simultaneously with the completion of the new building, ROOMZ proved to be the right product at the right time.

“Our offices are now designed for all types of work and especially collaboration. Meeting rooms can be booked by employees looking to collaborate face-to-face, while with ROOMZ there is also the option of booking individual workspaces. ROOMZ gives us the tools to manage this new way of working,” summed up Ian Crosby, Sunderland City Council’s Head of Facilities and Security.

ROOMZ displays make working life easier at ABB

ABB was searching for a new room reservation system that allows bookings via Outlook, and which displays the occupancy and all reservations at the entrances to meeting rooms. One solution emerged as the clear favourite after a thorough evaluation: ROOMZ met all the requirements and with an attractive price.

Bartosz Patyna, Project Manager Headquarter Information System at ABB, was full of praise once the system was successfully implemented: “The booking system has worked flawlessly since it went live and our users are very satisfied.” He has already recommended the solution to others. “My colleagues in the Dubai branch ordered 120 units straight away.”

Introduction of hybrid working practices with ROOMZ Display and myROOMZ

Pharmaplan is one of the pharmaceutical industry’s leading consulting and engineering partners.

The team in charge came across ROOMZ when looking for a system for their workplace and protection concept as well as their meeting room management.

In the course of further discussions, myROOMZ and ROOMZ Displays crystallised as the perfect solution for all current and future challenges. The system was incrementally integrated into the existing infrastructure. New room signage for classrooms and meeting rooms

New room signage was also on the to-do list as part of the overall renovation of the Kantonsschule Olten.
The Education Display was installed at the entrances to 100 classrooms – for a particular reason, as IT manager Isabelle Berger reported. Additionally, classic ROOMZ Displays were procured for the meeting rooms.

Isabelle Berger was extremely positive regarding the uncomplicated handling of the project, especially when it came to the seamless collaboration between the ROOMZ experts and KASCHUSO programmers.

ROOMZ technology has once again convinced the education field. The internationally renowned business school WHU – Otto Beisheim School of Management – has selected ROOMZ displays and Flightboard to provide a better user experience for its students and staff members.

WHU wanted to replace its old display system to meet its new organisational needs and optimise the use of its rooms.  With ROOMZ displays, students know in real time and in advance whether a room is occupied or not and can use it to study if it is available.

The pharmaceutical company Lonza has around 1,000 employees working at its Basel location. Management ordered wireless ROOMZ displays in 2019 to improve the inefficient occupancy of meeting rooms in the main building in Basel.

Just when the booking system was up and running, COVID-19 presented Lonza with new challenges. The decision was quickly made to expand the booking system to workspaces. Today, Lonza uses myROOMZ software to guarantee the occupancy of workstations in conformance with the Corona requirements. The maximum protection of employee health can be ensured despite tight space conditions.

Fast, easy and trouble-free – is an apt summary of the expectations placed on the ordered, installed and commissioned ROOMZ displays by COO / CIO Holger Schultes (until 2020). His unreserved satisfaction speaks in our favor.

In 2022, Bellevue Group made another major change: the migration of their ROOMZ system from On Premise to Cloud. Philipp Huber, System Engineer at Bellevue Asset Management (a Bellevue Group subsidiary) was in charge of the project, which progressed smoothly.
